5 business travel tips for the fall

True colors: New York City's Central Park. Photo: Ed Yourdon.

By Mark Chesnut

As temperatures cool, school semesters start and autumn rapidly approaches, travel patterns shift. Here are five ways that business travelers can make their fall travel go more smoothly.

1. Watch the weather reports. Hurricane Irene is, unfortunately, a perfect example of the type of disruptive natural occurrences that can wreak havoc on travel plans, as it also presents serious threats to general safety. Be vigilant about storms and consider buying travel insurance or paying non-refundable — and therefore more flexible — fares in order to protect yourself from unforeseen complications.

2. Pack appropriately. Marie Lotode Chandra, owner of ViaHerWorld.com — a site that caters to female business travelers — notes that autumn weather can be especially unpredictable. “It is therefore important to pack wisely,” she says. “Make sure to pack a jacket that will work with all your outfits.” Practical advice, regardless of gender.

3. Take advantage of off-peak season perks. Don’t miss your last chance (usually by December) to grab value rates on meetings, and incentive group travel to the Caribbean and Mexico. Once winter arrives, those prices will go straight up.

4. Consider the benefits of booking hotels during shoulder season. At many hotels, the fall is not as busy as summer, and also less hectic than winter vacation months. This means that hotel deals may be more attractive for both business and leisure travelers. (With the exception of major holidays like Thanksgiving, which you should avoid anyway when it comes to business travel.)

5. Make time for fun. When visiting places like New England or upstate New York, extend your business trip by a day or two, bring along a loved one, and take in those fabulous fall colors.

Top tech items for business meetings and conventions

On-site assistance: the mobile version of Basecamp.

By Mark Chesnut

In August, Orbitz for Business — the corporate travel brand of Orbitz Worldwide — introduced Orbitz for Business Meetings, a new booking channel developed in conjunction with StarCite, a leading provider of Web-based solutions to manage corporate meetings and events.

But, as good as it feels to tout the latest business-oriented developments fresh from the Orbitz umbrella, there are lots of other great tech devices — including apps, programs and gizmos — that can also help make that next meeting go more smoothly. Here are a few of the best.MeetingMix
An online agenda and minutes template, MeetingMix allows you to create an agenda, designate attendees responsible for various duties, share comments, type minutes or read minutes input by someone else.

Basecamp
This project collaboration tool has a convenient mobile version that allows you to post new messages for your team and/or clients, read and add comments and also create and check off to-do items, all while on the road.

Crate
With this easy-to-use file-sharing service, you can drag and drop unlimited files onto its cloud, so that they can be accessible from any computer, anywhere. You can also share the link for a whole “crate” or an individual file.

Expensify
Sick of expense reports? With Expensify, you just take a photo of receipts with a smart phone and attach it to a report. You can link a credit card, log hours, track mileage, create instant reports and reimburse expenses online.

EasySign
That outdated practice of signing and faxing forms –  not to mention scanning them — is easily avoided with EasySign, which allows you to sign documents using your iPhone or iPad.

New venues and flights add to Boston’s business appeal

Bean there: Boston business-friendly skyline.

By Mark Chesnut

Business travelers as well as meeting planners will likely welcome the news about Boston’s increased airline service, as well as new and improved venues for corporate events.

Beginning April 22, 2012, New England and Asia will be linked by new nonstop Japan Air Lines service to Tokyo. The 13.5-hour flight, which becomes daily in June, will be operated with the new Boeing Dreamliner 787 aircraft.

This year, meanwhile, JetBlue has introduced nonstop service to Portland, Oregon, and Santiago, Dominican Republic, as well as seasonal service to St. Thomas, U.S. Virgin Islands, which will operate five times a week as of Dec. 15.

This increased connectivity bodes well for the city’s position in the domestic and international meetings market. For the third consecutive year, Boston and Cambridge have been named the “Top Destination in the United States for International Association Meetings” by the International Congress and Convention Association. In 2010, Boston and Cambridge together hosted 43 international meetings, up from 36 the previous year, and that number is expected to rise this year as well.

In 2012, several venues will offer new options for meeting and event planners (not to mention new activities for vacationers). The Boston Tea Party Ships Museum, which opens in June, will feature interactive exhibits as well as a tavern, tearoom, and staff dressed in period clothing. The African Meeting House, set in a 1,5000-square-foot building that dates to 1806, will unveil the results of its million renovation. And the Isabella Stewart Gardner Museum, which houses a collection of fine art spanning several centuries, will close from November 15 through January 19, to prepare for the opening of a new Renzo Piano-designed wing and restored Tapestry Room.

Area hotels are touting their options for pampering business and leisure travelers. The Charles Hotel, in Cambridge, recently debuted its new, 4,000-square-foot Corbu Spa, which features a French-inspired, organic treatment menu. And the Mandarin Oriental, Boston is celebrating the increased famed of its executive pastry chef, Nelzon Paz, who competes on season two of the TV program Top Chef Just Desserts, which debuts on Bravo on Aug. 24.

For business travel, Orlando shines with unique venues

Horse play: the dinner show at Arabian Nights in Orlando

By Mark Chesnut

The Orlando area may be the capital of Florida vacations, but it’s also a major player for business travel, with countless opportunities to make a lasting impression while entertaining clients and staging private events. The large amusement parks at Walt Disney World, Universal Studios and SeaWorld offer lots of possibilities, but here are five noteworthy independent venues that host business groups.

Arabian Nights
This Broadway-style dinner show tells the tale of Schererazade, a girl with dreams of being a princess. The venue can offer customized and private shows as well as pre- and post-show receptions and VIP upgrades for up to 1,200 people.

Baby Grands Dueling Piano Bar
A full band and — you guessed it — two very competitive piano players provide the live entertainment at this downtown Orlando venue, which has capacity for 400. For private events, you can choose your own appropriate music (corporate jingles welcome).

Capone’s Dinner & Show
Up to 372 attendees can partake in private events at this dinner theater, where the stage — when not filled with old-fashioned gangster types –  can be used for presentations.

Titanic Dinner Event
Located on International Drive, this venue gives groups the opportunity to participate in a dinner party celebrating the “retirement” of the ship’s Captain Smith. Costumed cast members portraying Molly Brown, Thomas Andrews and other Titanic notables are among those on the guest list.

WonderWorks
This offbeat attraction, which has more than 100 interactive exhibits, helps business types test their team-building skills through activities like laser tag and negotiating the ropes course; they also have a 4D theater and dinner shows.
